In this video, you'll learn how to create a quote with a package. A text version follows.
Instructions
The first thing you'll do is go to your contact records and choose the person you want to create a quote for. I'm going to create a quote for Angela stone so I click on the Quick Links and open a drop-down list.
I click on "quotes" and that takes me to Angela's Stone's quotes page.
Now because this is a demo, she has quite a few quotes already. I'm going to make a new one for her by clicking "add a quote with a package." Now if I knew I wanted to use the default package I could put in a title and hit save and close, and I'm done. I've created a standard in just a few seconds. I can choose that option if I do this is my everyday routine and I just want to get this done quickly.
But I'm going to go over some options here with you to show you some things that you can do in addition to just sending off a standard quote.
The first thing to notice is that this has pre-loaded a default package. I only have one package in here for the demo but if you had several different packages a drop-down would come up and you could choose from among them. That would change the default that shows in your quote.
There's also a video if the package includes a video. You'll see it here we have the Tesla cyber truck as just a demo example. it's a YouTube video and you can see the link here yours would probably be a short company promo or maybe a description of the kind of services you offer. Or whatever you'd like the person receiving the quote to see.
You can also include a tax percentage here. Let's say for example you're operating in a state where sales tax applies and the rate is 7% you put seven here and then when the price is calculated the sales tax is added into the total. Also, you have this "use custom address" option. By default, the quote will show the contact's billing address.
But let's say the contact has several properties and you're going to do work for each of those properties and you want to quote them separately. You might put the address for each one in the quotes and then it shows what you're going to do for that particular property and it still ties it back to the main client. You may not use that very often but it's really handy for that type of scenario
Now I'm going to click "save" and calculate the price. The quote looks pretty much the same except that now I have my pricing options here. The plans that are set up in my quotes package so I have basic standard and deluxe.
Three options to choose from which is a fairly standard way of doing things. But I don't have to offer three all three. I could, for example, remove one or two and just have the standard package if that's all I want to offer. I'm going to leave these enabled for the demo and show you another option.
So let's say I'm running a $99 special and I can see that the usual price is $150 but I want to offer this customer 99 dollars instead. I just come into the plan price field and I put my $99 in there. Now, this is the new price that will show and if there's a sales tax that will be calculated on this price instead.
Click "save and calculate the price." I could just say recalculate and that would erase what I just did if maybe I changed my mind. But I'm going to go ahead and save the pricing.
Now I can scroll up and include a note if I'd like. This comes in handy if, for example, you want terms and exclusions and so forth. So maybe I want to specify that labor and materials are both included or certain types of materials are excluded. Or in this case, let's say that my $99 offer is only for a limited time. I may say "this quote is valid for seven days." That way it's not open-ended and if the special runs out the quote I can tell the customer the quote has expired.
I can also add an image here and that could be anything that you want. In this case, I'm going to put a "satisfaction guaranteed" image just so we can see what that looks like. Now that I have everything the way I want it, I can go ahead and save and close. Now that quote shows up in Angela's quote list and I can preview it. I can see how it will look to the customer.
I can see my company logo and name and who this is prepared for. Here is the video. And the image I added.
The text that appears will automatically match the options below. So if I had taken out one of the options, it would say "select one of the two options below that meets your needs." You don't have to change that because it will automatically match what's below.
Now you'll have a nicely formatted basic standard and deluxe package and the pricing that I the overrode for my discount is there. There's my note and you can see that the quote has space for the client to leave his or her own note and to sign. The client can choose an option to sign the quote and approve it right here in the system.
Now let's say I'm good with that. I'm all set and I want to send the quote to the customer. That doesn't happen automatically.
I get a chance to look at it and decide if I'm ready to send it. I could just go ahead and send it but the other option is to go in and edit the email template. Now the email template refers to the email that's already set up to automatically go with quotes.
But maybe I don't want the default template exactly as it is. I want to maybe personalize it a little bit. Let's say I just met with Angela today and so I say it was nice meeting you today. Now I've got a little bit of customization here.
Let's say I also want to put my company name in there just to make it a little bit clearer who the quote is from. Let's say now if I'm happy with that I can go ahead and send. Now, this is not just to save it. When I click "save" I'm sending it.
It has the same effect as the "sent" button. I know it's sent now because it says resend. So that means obviously I sent it the first time because now it's there to resend.
Now I can go into Angela's email because it's a demo account. Obviously, you wouldn't normally be able to go into the customer's account. But for us, it's helpful to see how it looks.
You can see my quote there and you can see the custom template shows up and my signature. I can go ahead and click and there's the quote.
I can choose my $99 special. I could put some notes here I can sign and so forth so you see how that quote looks to the customer.
I can also go back in and here's a breadcrumb where I can click on Angela's contact record again. I can go back to the Quick Links and I can check this out in the email section.
I can look here now you can see my earlier quote was just delivered and Angela hasn't opened it yet. But this quote was open so it shows that she opened it. I can come here and check the status of the quote.
And that's all that's how you create a quote from a package
