In this video, you'll learn how to create and organize tags. A text version follows.
Instructions
To create a tag you go to the CRM option and click tags. You will see your existing tags if you have created any.
If you want to create a new one, go into "add tag" and put in the tag name here and a description. It is important to put a description so that down the road do you remember why you created this tag
You can choose a category for the tag if you like. At first, you may not have very many tags so you don't need categories. But over time as you get more and more you'll probably want to sort them in categories.
Then you can set the access level. Choose who you want to be able to use this tag and save. Also, you can create your categories in much the same way. You can see here there is kind of a scheme for the categories where they're numbered. We have opted in, marketing, nurture, and so forth.
You can add a category title and again it's a good idea to put a description. Then you can set the access level. Once you've done that when you create a new tag, your new category will show up.
Here are some suggested tag categories to use:
- Sales & Marketing
- Segmentation
- Type of Service
- Lead Source Segmentation
- KPI & Reporting Tags
- Triggers
- This category would be used for any tags that are used as triggers to trigger workflows
- Admin
- You can set the Access level of this category to Admin. This way only Admin users can see any tags in this category
- Temporary & Test Tags
- This is a good category to assign any of your test or temporary tags to... That way you don't forget to delete them later on and can keep your tags clean
These are some good broad tag categories to simplify your tag organization. It's a good approach to keep the categories broad to start, otherwise you will start having a mess of tags and tag categories over time.
As your business grows, you'll need to add more categories but put some thought into this and it will save you a lot of time down the road.
The purpose of tags is to segment or group your prospects and customers. Let's say you have customers who signed up for a monthly newsletter. You could tag all of them as newsletter subscribers and then you could put them in a workflow to send out the monthly newsletter when it comes out. As one example of how you would use tags
